VOLUNTEER INFO

Team & Program-Wide Volunteers: In addition to admissions and concessions, we also need EACH of our parents (from ALL teams) to help fill our Team Volunteer spots and any Program-Wide Volunteer spots available.   • Team Parent: Responsible for getting information out to the entire team, players and families. Ensures all other team responsibilities (listed below) are taken care of. Ensures that there are volunteers to cover books, clock, and stats (18U only) before every game. Ensures that there is always a second adult present (in addition to the coach) at every practice.

    Book Keeper: (*Training is available! We’ll have a training clinic before the season starts for anyone willing to learn) Keep books for the team during any games/tournaments. Ensure you are familiar with how to perform your job and arrive to games about 15 min before start time. 18U players may keep books for sub varsity games. 18U team books must be kept by an adult.

    Clock Keeper: (*Training is available! We’ll have a training clinic before the season starts for anyone willing to learn) Arrive to games about 15 min before start time, set up and/or familiarize oneself with clock. Home team keeps clock unless it is a tournament. Then visiting team keeps clock.

    18U Stats Keeper: (*Training is available! We’ll have a training clinic before the season starts for anyone willing to learn) The 18U teams’ stat keepers are scheduled to fill all home and away games. Ensure that you know how to perform your job by getting with the head coach and athletic director to find the best way to collect stats each game.

    Photographer: One or more individuals per team are needed to capture still photos of practices, games, parties, etc. Photographers provide photos to Website Coordinator, Social Media Coordinator, Publicist, and Historian upon request.

    Videographer: One or more individuals per team are needed to take game video, make copies for coaches if requested, and upload to PAHAA’s YouTube channel. Equipment is provided.

    Equipment: One or more individuals per team to keep up with team’s basketballs and other equipment and bring to each game/practice.

    Event Coordinator: Plans team gatherings so that the players can relax together in fun with the goal of strengthening friendships and promote teamwork. The goal has been to try and do something once a month if possible. Examples: Going out to eat together, ice cream after practice, get-together at someone’s house, etc.

    Referees for 10U Games: Arrive to the game at least 15 minutes early. Be familiar with general referee calls and signals.

    TEAM VOLUNTEERS

    PROGRAM-WIDE VOLUNTEERS

    Concessions Coordinator: Keep ongoing inventory and purchase needed items from list provided for concessions. Ensure everything is ready for volunteers for home games. Create and maintain a menu and detailed instruction sheets so that all volunteers know how to make all menu items. Create signs (or delegate to Promotional Coordinator) and keep them current with menu items and prices. Ensure that all volunteers are well informed and trained.

    Uniforms Coordinator: Coordinate the end of year returns, upkeep info, and storage of uniforms. Manage the hand out of uniforms for the new season. Communicate with the AD & board, and order new uniforms as needed. Also ensure that all coaches have shirts and order as needed.

    Gyms & Referee Scheduler: Schedules all home gyms and refs. Communicate closely with your contacts for gyms and refs as well as the Game Scheduler. Maintain list of contact info.

    Game Scheduler: Schedule all home and away games, according to the schedules and wishes of the AD and all head coaches, as well as gym availability. All scheduling to be started and almost completely done in early spring of each year for the upcoming season. Communicate closely with the Gym & Referee Scheduler as well as Communications Manager. Maintain online game calendar throughout the season. Confirm games AT LEAST a week before with opposing teams and arrange for re-scheduling when needed. Maintain list of contact info.

    Fundraising Coordinator: Coordinate and oversee all fundraisers. Communicate with the board at the beginning of the summer regarding budget needs and goals for the year. Create season passes for sponsors (enlist the help of Promotional Coordinator if need be) and send out passes along with a donation letter to each sponsor.

    Website Coordinator: Responsible for maintaining PAHAA information on website. Communicate with web designer to get new info, photos, and videos on website.

    Volunteer Coordinator: Responsible for logging into our online sign-up sheet, updating and maintaining our game schedule, and adding the jobs needed for each game (admissions, concessions, etc). Send to Communications Coordinator as needed, and continually ensure we have all jobs filled before each home game.

    Promotional Coordinator: Responsible for overseeing the design, printing, & distribution of team t-shirts and any other promotional material for the season as well as tournaments and special events (banners, fliers, signs, etc). Coordinate closely with Fundraising Coordinator in order to have ads designed for season sponsors. Submit sponsor ads to Website Coordinator and Social Media Coordinator before the season starts.

    Social Media Coordinator: Responsible for regularly posting on social media outlets about upcoming events, accomplishments, announcements, etc. Work closely with Publicist so that social media posts and other articles are timed appropriately for the best exposure.

    Publicist: Collect game scores, key stats, and photos on a regular basis and submit articles to the Web Coordinator, Social Media Coordinator, as well as local newspapers and online sites throughout the season. Work closely with the Social Media Coordinator so that social media posts and articles are timed appropriately for the best exposure.

    Communications Manager: Maintain the member contact list and send out information to the organization as needed via email, text, app, or combination.

    Special Events Coordinator: Oversees all aspects of the end-of-year awards banquet as well as other membership-wide meetings such as the Kick-off Meeting, Alumni Night, and Senior Night throughout the year. Communicates with the Board in the fall about plans and budget for each event. Includes planning, coordinating, delegating, and communicating with all committee volunteers before, during, and after the event. Ensures all tasks are handled in a timely and efficient manner.

    Hoops Tournament Coordinator: Oversees all aspects of the tournament including planning, coordinating and communicating with all department coordinators before, during, and after tournament. Ensures all tasks are handled in a timely and efficient manner.

    Regionals/Nationals Tournament Coordinator: Oversees all aspects of the regional and national tournaments including planning, coordinating and communicating with the board and parents. This will require securing hotel blocks in March/April for the upcoming season’s tournaments. Communicate closely with the AD and coaches. Notify families when it’s time to book hotel rooms, organize some of the meals throughout the tournament (making reservations for eating out as a group or organizing a crockpot potluck, etc), and any possible special outings as a group, as time allows.
